Responsibilities
Communication & Correspondence
o Prepare standard correspondence and assist with internal/external
communication
o Monitor, screen and respond to incoming communications, distributing as
necessary.
o Develop and maintain external communications, including managing
contact lists
Meeting & Event Coordination
o Coordinate and manage calendars for the CEO, board and leadership
team, including external meetings
o Organize administration for board, leadership and external meetings in a
hybrid environment
o Assist with the development of meeting agendas and take notes during
meetings
o Facilitate travel arrangements for the CEO, Board and leadership team as
needed
Documentation & Reporting
o Conduct research, prepare documents for review and create presentations
o Update the board and leadership portals with relevant document
o File, retrieve and maintain records and reports
Administrative Support
o Timely completion of monthly expense reports, ensuring compliance with
company policies
o Provide general office administrative Support managing complex tasks
independently
o Assist in the development and maintenance of relevant systems and
processes
Qualifications
Proven 3+ years’ experience as an executive assistant or a similar administrative
support experience in a fast paced and dynamic environment
Excellent written and oral communication skills with a keen eye for detail
Proficient with Microsoft Office tools, including Word, Excel, Outlook and
PowerPoint, (SharePoint) and social media platforms
Ability to manage multiple projects and meet deadlines independently
Ability to conduct research and create reports or presentations
Excellent business acumen, interpersonal skills and sound judgment
Ability to handle confidential information with discretion and integrity
Ensures integrity in personal and organizational practices.
Proactive problem- solving and decision-making skills
Excellent time management and organization skills, supported by relevant
systems and processes
Ability to learn quickly and adapt to new information
Bi-lingual (French/English) is an asset
