The Administrative Coordinator provides essential administrative support to ensure efficient operation of the office. This role involves performing a variety of tasks including managing schedules, organizing meetings, maintaining records, and handling correspondence. The Administrative Coordinator serves as a point of contact for internal and external stakeholders and ensures that all administrative activities are carried out in a timely and effective manner.

Responsibilities
Responding promptly to external and internal customer inquiries.
Communicating with customers through various channels e-mails and phone
Problem solving.
Customer account opening and modifications
Processing orders, forms, applications, and requests.
Creating quotations
Coordinating with operations on deliveries, inquiries.
Analyzing pricing, invoices, any discrepancies and creating adjustments accordingly.
Working on accounts receivable; working with customers on collection payment default, analyzing invoices and creating debit and credit memos
Monitoring on time delivery and communications with customers
Analysis of inventory levels, forecast, purchase orders, incoming inventory, firm orders
Creating various reports ei: order confirmations, forecast, volumes, etc…
Resolving customer complaints.
Knowing our products inside and out so that you can answer questions.
Answering client questions about credit terms, products, prices, and availability.
Meeting with customers as required
Qualifications
Experience in Sales / Customer Service (2 years)
High school diploma or equivalent
Fluency in written and spoken French and English
Understanding of the sales process and dynamics.
Experience using computers for a variety of tasks.
Competency in Microsoft applications Excel
Skills:
Detailed oriented
Able to work comfortably in a fast-paced environment
Fast learning
Clear communication skills
Well organized
Flexible
Ability to resolve problems
Resourceful, Work independently
Analytic, Mathematic skills
