Processing applications for the issuance of travel documents, visas, and MVV applications; reviewing various supporting documents, entering applications into automated systems, and issuing travel documents and visas
Providing verbal and written background information, guidelines, and advice regarding applications for the issuance of travel documents, visas, and MVV applications
Logistical and Administrative Support
Assessing incoming correspondence based on relevance and urgency, adding necessary information for processing based on personal initiative and judgment
Maintaining the consular archive by organizing, storing, cleaning, and preserving physical files and documents
Keeping consular information on relevant post and network websites up to date
Other Responsibilities:
Acting as the point of constant for SVB/WUV
Coordinating services/activities for former resistance fighters and war victims on behalf of the SVB’s Veterans and Victims of Persecution Department
Scope of Work:
The Consular Officer is responsible for ensuring the accuracy of information provided and the lawful application and execution of applicable laws, regulations, procedures, and instructions
Relevant legislation, instructions, and guidelines are essential for correctly approaching and performing tasks
The Consular Officer makes decisions during the execution of (aspects of) consular services and logistical and administrative support
Contacts:
With third parties regarding the administrative handling of matters to obtain and provide information on content and progress
With interdepartmental bodies (including DCM and IND) to share or obtain additional information
Qualifications
1-3 years of experience in an administrative role within a passport office, consulate, or visa processing environment.
Strong understanding of passport and visa application procedures and requirements.
Exceptional attention to detail and ability to manage multiple tasks simultaneously.
Proficient in MS Office (Word, Excel, Outlook) and office equipment.
Excellent communication skills, both written and verbal.
Ability to maintain confidentiality and handle sensitive information.
Strong organizational and time-management skills.
Ability to work independently and as part of a team.
A positive attitude and a customer-service oriented mindset.
Preferred:
Previous experience using passport/visa management software or systems.
Knowledge of immigration policies and regulations (depending on the country of operation).
