Responsibilities
• Handle guest services like parking, workspace reservations, townhall setups, furniture arrangements, and coffee services.
• Coordinate maintenance requests with landlords, property managers, security, and contractors (e.g., HVAC, plumbing, cleaning, pest control).
• Manage moves, additions, changes, and projects with vendors and stakeholders.
• Document standard operating procedures for business continuity.
• Follow service standards and identify when issues need clear responses.
• Help reinforce service standards through training and awareness programs.
• Escalate critical incidents to management, providing status updates.
• Support the team in problem-solving and decision-making to ensure effective responses.
• Build and maintain strong relationships with team members and service partners to ensure client-focused operations.
Qualifications
Experience: Minimum of 3-5 years of industry experience in facilities management or a related field such as, Client Services Operations or Technology Operations. Experience with work order management systems and incident management is essential. Preferred candidates will have construction management experience and the ability to read and interpret commercial lease agreements.
• Certifications: C.E.T, RPA, FMA, CFM or equivalent designations are all considered as assets. Proficient in Microsoft Office suite, Microsoft Excel, and Microsoft PowerPoint
• Skills: Strong proactive thinking, troubleshooting and problem-solving skills. Excellent communication and client service abilities. Ability to coordinate and manage multiple tasks and vendors effectively.
