The Records and Information Management Administrator Level 1 administrative and technical support tasks relating to the management, organization, and maintenance of physical and/or electronic materials in different formats such as documents, media, and records to ensure safeguarding and easy retrieval of information.
Pay Rate: $23/hr
Must have the ability to lift standard information storage boxes (35 to 50 pounds)

Responsibilities
•Maintains physical and electronic engineering drawing records.
•The majority of time in role will be filing of engineering drawings requiring occasional lifting of moderate weight.
•Candidate must be physically fit and able to reach bend and lift large drawings for long periods of time.
•In office 5 days a week.
•This role may also support the processing of engineering drawing submittals, transmittals, issue packages and sign outs. Check drawings submitted or transmitted for issuance to ensure compliance with Enterprise BC Hydro records and security policies, Records Management policies, industry standards, business guidelines and engineering standards.
•Escalates non-compliance to higher level Drawing Services staff or to appropriate business contact for resolution as required.
•Performs drawing management related research under the direction of management or the Drawing Services Coordinator Work Leader.
•Gathers information about drawings, equipment and facilities from drawing management systems, physical and electronic drawings.
•Provides summary of findings to requestors.
•Maintains physical and electronic engineering drawing records by performing such duties as: entering metadata for physical drawing records into drawing management systems; scanning physical drawings and digitizing microfiche to create electronic drawing records; filing and retrieving for requestors active and superseded/obsolete drawing versions; and performing quality checks to ensure signed-out drawing records are returned.
•Prepares a variety of engineering drawing record reports (such as drawing records signed-out or drawing reservations) for internal engineering clients and external service providers.
•Responds to routine drawing management enquiries from internal engineering clients and external service providers (such drawing issuance process and status of drawing requests).
•Forwards enquiries to higher level Drawing Services staff or management as required.
•Performs duties of a minor nature related to the above duties that do not affect the rating of the job.
Qualifications
Education and Skills
• High school graduation
• Advanced typing and data entry skills (50 wpm)
• Advanced MS Office skills (Word. PowerPoint, Excel, SharePoint)
• Advanced Adobe Acrobat skills
• Advanced English skills for professional environment, written and spoken
• Experience in operating office equipment such as reprographics equipment, readers and printers (multi-functional device – copier, printer, scanner)
• The ability to lift standard information storage boxes (35 to 50 pounds)
