Responsibilities
Greet clients and visitors in person in a welcoming and professional manner
Inform applicable person(s) of visitor arrival(s).
Answer internal and external telephone calls to the Firm’s switchboard utilizing a Cisco console, properly directing calls, taking applicable messages accurately and locating individuals if messages are urgent.
Accurately manage boardroom bookings and hospitality requests using meeting room booking software.
Assist with Firm security by ensuring front desk is never unattended.
Maintain discretion and confidentiality.
Ensure all visitors are accurately logged on the Firm’s internal visitor logging system.
Issue temporary visitor passes to guests.
Ensure the reception area is neatly maintained.
When covering the early morning shift, check for staff absence calls and promptly send accurate notifications to applicable individuals of absent staff.
Other administrative and clerical duties as assigned.
Qualifications
Knowledge of or experience with a computerized switchboard and large meeting room booking software (Rendezvous).
Excellent communication skills both in French and English and superior client relation skills with a keen sense of professionalism.
Proficient computer skills including MS Outlook, Word, intranet, and legal based software programs.
Ability to work as a team and good problem-solving abilities.
Self-motivated, highly organized with the ability to multi-task in a fast-paced work environment.
