Responsibilities
-Greet customers and visitors in person in a warm and professional manner
-Inform the appropriate person(s) of visitors' arrival.
-Answer internal and external telephone calls at the firm's switchboard, directing calls correctly, taking applicable messages accurately and locating people if messages are urgent.
-Accurately manage meeting room reservations and hospitality requests using meeting room reservation software.
-Contribute to corporate security by ensuring that reception is never unattended.
-Maintain discretion and confidentiality.
-Ensure that all visitors are accurately registered on the company's internal visitor registration system.
-Ensure that the reception area is meticulously maintained.
-Other administrative and clerical duties as assigned.
Qualifications
Knowledge or experience with computerized switchboard and large meeting room reservation software (Rendez-vous).
Excellent communication skills in French and English and superior customer relations skills with a strong sense of professionalism.
Proficient computer skills, including MS Outlook, Word, Intranet and legal software.
Ability to work in a team and good problem-solving skills.
Self-motivated, highly organized and able to multi-task in a fast-paced work environment.
