Responsibilities
Services for guests and employees
Greet employees, customers and guests with positive energy, professionalism and sincere attention, ensuring that requests are quickly directed to the appropriate resources.
Facilitate visitor registration, including signing NDAs and issuing name tags.
Manage incoming calls, emails and messages across multiple platforms.
Manage access card loans and parking requests, ensuring adequate monitoring and validation.
Respond to employee requests, document them and redirect them to the right departments.
Hospitality
Meet the needs of guests and customers by offering coffee and refreshments.
Support meeting room preparation, including management of catering and beverage services.
Contribute to the planning and execution of internal and client events.
Create and manage the office atmosphere, including the music selection.
Operations
Manage the sending and receiving of mail and parcels, ensuring compliance with customs and budgetary rules.
Participate in inventory management for the store, online orders and welcome kits for new recruits.
Maintain schedule of after hours hours for security, maintenance and events, informing and reminding stakeholders.
Provide administrative support, including writing guides, tracking expenses, updating vendor lists and other administrative tasks.
Oversee the management of access cards for onboarding and offboarding processes.
Assist in writing and updating process documents and manuals.
Support for travel and accommodation
Support reservations and logistics for company-owned properties.
Organize local travel for employees, customers and guests.
Respond to travel-related requests and redirect them to external stakeholders or suppliers.
Culture
Manage box reservations at the Bell Center, catering service and ticket allocation.
Respond to requests related to internal activities and events with a customer service-oriented approach.
Actively participate in internal communication portals and channels.
Serve on health and safety committees and ensure first aid preparation.
Qualifications
On-site presence, Monday to Friday, with flexibility for early mornings or late evenings as needed.
High school diploma required.
Experience in reception and reception or in preferred hospitality.
Knowledge of ERP tools such as Monday, Expensify, OfficeSpace, and Google Workspace (an asset).
Excellent written and oral communication skills in French and English.
Ability to manage multiple tasks simultaneously, prioritize and organize time effectively.
Great sense of discretion and confidentiality.
Customer service orientation with a professional and welcoming attitude.
