Responsibilities
- Welcoming visitors in a professional and courteous manner, directing them to the right place and announcing their arrival.
- Ensure office security by following internal procedures, keeping the visitor register up to date and issuing access badges.
- Maintaining a clean reception area and mailroom, in compliance with rules and procedures.
- Managing the inventory of office supplies and placing orders (stationery, snacks, fruit, birthday meals, etc.).
- Supporting the management of meeting room reservations, particularly for conferences.
- Opening, sorting and distributing mail and parcels.
- Supporting various administrative tasks and special projects, including managing mailings.
- Help organise internal events: general meetings, Christmas party, summer activities, etc.
- Other related administrative tasks.
Qualifications
đ©âđŒ Experience
- 3 to 5 years in an administrative or coordination role, ideally in a dynamic environment
đ€ Customer service
- Professional attitude, courteous and focused on the needs of colleagues and visitors
đ Management of priorities
- Ability to juggle multiple tasks effectively and adapt to unforeseen circumstances
đ Attention to detail
- Thoroughness, precision and pride in a job well done
đŁïž Bilingual communication
- Excellent oral and written skills in French and English
(Some communication will be with colleagues outside Quebec)
đïž Organisation & time management
- Strong skills to stay on track in a fast-paced environment
đ Discretion
- Ability to handle confidential information with tact and professionalism
đ» Mastery of tools
- Excellent knowledge of the Microsoft Office suite (Word, Excel, Outlook, etc.)
