Our client, one of the largest landlords of first class properties is looking for a dynamic and versatile Administrative Assistant!
Advantages

-In office position Monday-Thursday and working remotely on Fridays

Responsibilities
-Assist the Property Manager with administrative duties
-Respond to tenant service requests via phone and email
-Track and monitor parking lot requests and monthly payments
-Ensure tenant services, tasks and requests are assigned to the appropriate technicians
-Manage petty cash and expense reports
-Collaborate with suppliers and head office to ensure insurance certificates are conforming
-Coordination of office equipment and inventory
-Follow-up with technicians and close work orders for and prepare them for billing
-Produce and send notices to tenants
-Work with security team to manage building access card system
-Send tenant manuals to new tenants and coordinate onboarding
-Update digital or printed media in the common spaces of the building
-Maintain summary of building contracts
-Create, dispatch and follow up with all Purchase Orders
-Upload and process all invoices, and match incoming invoices with existing POs.
-Send, receive and process quotes that are approved by tenants
-Compile all invoicing documentation for Property Manager
-Communicate documentation (quote, PO and invoice) to the Accounting Department
Qualifications
-Fluently bilingual in French and English
-Hold a Diploma of Collegial Studies (DEC - administration) or Vocational Studies (DEP - secretarial)
-2 years of relevant experience
-Knowledge of Microsoft Office (including Word and Excel) & Adobe
-Very comfortable with computer software systems
