The Purchasing Assistant will oversee procurement and product delivery tracking, coordinate logistics to maintain optimal inventory levels, and ensure that import documentation complies with current regulations. This position requires strong organizational, analytical, and communication skills to ensure a smooth and efficient supply chain.

Responsibilities
RESPONSIBILITIES - PURCHASING:
Create products and associated items in the ERP system.
Update cost master files.
Enter and update product descriptions and specifications in the ERP system.
Generate purchase orders (PO) in the ERP system.
Establish shipping marks for box identification.
Manage inventory in showrooms.
Coordinate available inventory for employee orders.
Perform weekly inventory report follow-ups.
Complete corporate customer creation files (sporadic).
Perform any other related tasks.
RESPONSIBILITIES - LOGISTICS:
Collect necessary documents from suppliers and freight forwarders to facilitate customs clearance (import and export) and send them to the customs broker.
Request final payment from the accounting department and release the order by Telex.
Update the shipping report and order dates in the system to inform departments of potential delays.
Ensure various follow-ups, including registration dates and freight forwarder bookings.
Qualifications
2 to 3 years of experience in a similar role
Experience in logistics and importation
Bilingual: fluent in French and English
Strong knowledge of Microsoft Office Suite (Outlook, Excel, Word) – mandatory
Experience with an ERP system – mandatory
Ability to manage multiple tasks simultaneously and meet deadlines
Attention to detail and accuracy in document management and logistics processes
Excellent written and verbal communication skills to interact with suppliers, carriers, and colleagues
Ability to quickly adapt to changes and proactively solve problems
Analytical skills to quickly identify and resolve supply chain issues
Motivated, engaged team player determined to grow with the company long-term
