Our client located in Etobicoke is currently looking to hire a fantastic candidate for a permanent position who is experienced in an office environment, to assist them with a variety of office duties.
This is what your daily life will look like:
Under the direction of the General Manager & Property Manager, your work as a property administrator will ensure the smooth running of the service team. Your daily activities will include taking calls and inquiries by phone, creating monthly reports , enter data in the system, taking care of document filing, purchase/ work orders, processing invoices and tenant relations.

Responsibilities
Administrative Support:
- Provide general administrative support, including word processing, report
generation, filing, and scheduling appointments.
- Assist with the preparations of contracts, purchase orders, and work orders for
property services.
- Process accounts payable invoices accurately and efficiently.
Tenant Relations:
- Prepare and distribute tenant correspondence, including lease agreements, rent notices, and other communications.
- Collect and record monthly rental payments, following up with tenants as needed
to ensure timely payments.
- Maintain tenant service and maintenance management systems databases,
updating records as necessary.
Property Management Tasks:
- Assist the Property Management in maintaining accurate records of lease
agreements, including tracking lease renewals and changes.
- Coordinated property maintenance and repairs, liaising with contractors and
vendors to ensure work is completed satisfactorily and on time.
- Conduct regular property inspections to identify maintenance issues and ensure
compliance with safety and regulatory standards.
- Assist with budget preparation and expense tracking for property operating
expenses.
- Assist Property Manager with administrative tasks related to property
management including lease administration, rent collection and tenant
communication.
- Maintain organized and up-to-date records of tenant information, lease
agreements, and service contracts, ensuring accuracy and completeness of
documentation.
- Generate quarterly reports along with annual plans.
- Manage accrual reports.
Additional Duties:
- Collaborate with team members to share knowledge and best practices.
- Participate in ongoing professional development activities to enhance skills and
knowledge.
- Adhere to health and safety policies and procedures, reporting any hazards or
incidents promptly.
- Perform other related duties as assigned to support the efficient operations of the Property Management division.
Qualifications
Education:
- Undergraduate degree or post-secondary diploma
- Additional education or certification in property management or related field preferred.
Professional experience:
- Minimum of 2 years of experience in administrative roles, preferably in property
management or real estate.
- Strong proficiency in MS Office Suite (Word, Excel. Outlook) and property management software.
Personal Competencies:
- Excellent communication and interpersonal skills, with the ability to interact effectively with tenants, colleagues, and vendors.
- Strong organizational and time management abilities, with the capacity to prioritize tasks and meet deadlines.
- Attention to detail and accuracy in all aspects of work.
- Ability to work both independently and collaboratively in a fast-paced environment.
- Commitment to maintaining professionalism and confidentiality in all interactions.
- Knowledge of property management principles and practices is an asset.
