Responsibilities
The ideal candidate will have a history of demonstrated results supporting small to mid-size cross-functional teams to accomplish technology projects across matrixed organizations. They must thrive in fast-paced environments, be able to manage through ambiguity and complexity, create and simplify processes, and support the project that impacts a growing global organization. This role requires excellent communication and organizational skills while coordinating leadership team activities to support the team.
A day in the life:
Support recruiting, interviewing, onboarding and offboarding process activities for multiple stakeholder teams.
Engaging with technology stakeholders and teams.
Facilitating planning/hiring sessions with India-based and NA-based teams as needed.
Support Tech Managers with recruitment and onboarding.
Coordinate new team member onboarding and ensure all administrative tasks are completed in a timely manner.
Keeping all supporting documents and files up to date.
Communicate and collaborate with colleagues and if occasionally required support in the following tasks:
Schedule meetings, workshops, and team events to support the team.
Take and distribute meeting notes and organize follow up items, actions, and sessions.
Manage Program documentation and consolidate document platforms to ensure simplicity and increase easy of finding documents.
Support Portfolio Program Manager with additional tasks as needed.
Support Global Supply Chain leadership team with additional tasks if required.
Support Project Coordinator/Analyst in budget management activities if required.
In collaboration with our teams, organize, deliver, and participate in Program Team activities and celebrations.
Acting as a liaison for all projects to all internal users as well as vendors.
Schedule and hold meetings with internal and external stakeholders.
Function as the point of contact and communicate recruiting status to leadership team.
Qualifications
Proven work as a Project Coordinator, administrator, or similar role.
Demonstrated knowledge of best practice project management methodologies and a desire for continuous improvement.
Working knowledge of Smartsheet, SharePoint, Confluence, and the MS Suite.
Must be analytical, flexible, collaborative.
Good interpersonal and communication skills.
Strong organization and follow-up capabilities.
Bonus asks:

Jira and Confluence proficiency.
Comfortable in a high growth, fast paced, ever changing environment.
Excellent communications skills: verbal and written.
Ability to meet agreed performance and quality targets.
