Responsibilities
Collaborate with the payroll team to accurately process payroll for employees, ensuring compliance with Canadian payroll regulations.
Process various bonus and commission programs, including monthly, semi-annual, and annual payouts.
Manage payroll-related statutory filings, such as WCB/WSIB, EHT, CPP, and OAS.
Calculate and verify employee hours, deductions, and benefits while ensuring compliance with tax laws.
Address payroll-related inquiries, resolve discrepancies, and provide employment letters as needed.
Process and reconcile payroll journal entries, including vacation accruals.
Validate employee changes, new hires, leaves, and departures while administering benefits programs (RRSP/DPSP, paid time off) in coordination with HR.
Conduct regular self-audits to maintain accuracy and support internal off-cycle and year-end audits.
Assist employees with claims issues and collaborate with HR to ensure benefits programs align with coverage agreements.
Submit ROEs to Service Canada and process T4s and W2s for Canada and the U.S.
Oversee payroll operations for Canada, the U.S., Mexico, and coordinate Honduras payroll with external partners.
Support payroll setup for new U.S. states and Canadian provinces as needed.
Approve payroll submissions for third-party invoicing.
Manage payment of required benefit premiums across all locations.
Prepare and submit payroll tax filings and remittances to government authorities (e.g., HST, WSIB reporting, taxes) in collaboration with the Financial Analyst.
Generate payroll reports, including semi-annual reporting with the HRIS Specialist.
Stay updated on payroll regulations, tax laws, and accounting standards across Canada, the U.S., Mexico, and Honduras in coordination with HR.
Conduct government surveys, audits, garnishments, and other compliance-related tasks.
Prepare and reconcile period-end reports, ensuring payroll accuracy against bank statements.
Provide backup support for finance functions such as accounts payable and cross-train to cover payroll during vacations or absences.
Take on ad-hoc tasks and special projects as required.
Qualifications
At least 3 years of relevant experience, ideally in a mid-sized manufacturing or distribution company.
Certified in payroll management with a comprehensive understanding of financial best practices.
Proficient in handling payroll for both Canada and the U.S.; experience with Mexican payroll is a plus.
Completed post-secondary education in Accounting, Finance, Business, or a related field.
In-depth knowledge of Canadian payroll regulations, with a strong understanding of U.S. payroll laws preferred.
Familiarity with ERP and payroll software (such as NetSuite, ADP, etc.).
High proficiency in Excel and report generation, with advanced to expert-level skills.
Excellent attention to detail, strong accuracy, and the ability to work effectively with team members.
