Responsibilities
This position involves professionally handling incoming calls and visitors, while assisting with navigation of the company website. It is key to the daily operations :
Customer Service: provide high-quality support.
Facilities Support: maintain spaces to ensure a positive experience.
Hotelling: manage bookings and troubleshoot application issues.
Mail/Couriers: handle deliveries and distribution.
Office Equipment: maintain and manage office equipment.
Meetings & Catering: coordinate meeting setups and catering requests.
Health & Safety: serve as a first responder and fire warden, contribute to evacuation procedures.
Problem Solving: analyze and resolve issues effectively.
Onboarding/Offboarding: follow procedures for employee integration and departure.
Records Retention & Off-site Storage: manage file storage, retrieval, and destruction; conduct annual audits.
Security: enforce security procedures for visitors, monitor suspicious activity, know emergency procedures, manage access using the Symmetry software.
Supplies: manage office supply orders and inventory levels.
Teamwork & Independence: work efficiently as part of the team while being autonomous.
Qualifications
Four years experience administrative role and/or receptionist in Office Services capacity, or a combination of relevant education and experience.
Knowledge of office equipment operations, facilities procedures, and ability to troubleshoot.
Knowledge of physical premises security processes and procedures.
Experience in a customer service environment.
Facility with video conferencing solutions and proficiency in MS SharePoint, Word, Excel and Outlook.
Excellent organizational and problem-solving skills.
Strong time management skills, including the ability to effectively prioritize and work on multiple tasks/projects at the same time.
Effective communication skills, both oral and written.
Exceptional interpersonal skills and customer service skills
Ability to understand and assist IT with trouble shooting issues.
Ability to lift up to 50 lbs.
Willing to be certified in First Aid & CPR and serve as Assistant Fire Warden.
