Responsibilities
1. Office Management & Organization
-Manage a small staff of administrative assistants who handle a variety of daily tasks like reception, mail, courier, deposits and kitchen maintenance.
-Assist with the coordination of the financial statement and tax returns assembly process;
-Stock office & kitchen supplies as needed.
2. Technology & Systems
-Coordinate with external IT consultant for office tech updates, assist in troubleshooting, and manage software updates;
-Manage office equipment and ensure smooth operation of remote and in-house computer installations;
- Provide internal tech support for staff as needed
4. Event Coordination
- Plan and execute seasonal events, employee appreciation initiatives, and monthly team gatherings. Events include special occasion and busy season lunches, Christmas and post-tax-season parties and employee appreciation gifts.
5. Human Resources & Employee Engagement
- Support employee onboarding, coordinate feedback processes, and assist with employee evaluations.
- Act as a point of contact for employees on workplace policies and HR-related inquiries.
Qualifications
- Energetic team player;
- Minimum 5 years of administrative experience;
- Strong knowledge of IT hardware and computer networks;
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word) and experience with tools like DocuSign and Adobe is a plus;
- Experience within an accounting or professional services environment is preferable but not required;
- Strong organizational and time management skills;
- Excellent communication skills, both written and verbal, in both French and English
-Able to work 100% in office
