Responsibilities
- Manage and coordinate office operations and procedures. Serve as the first point of contact in a small office environment.
- Duties include maintenance, mailing, equipment maintenance, overseeing bills, some errands and shopping.
- Scheduling the activity and hours of sales staff on site.
- Maintain office supplies inventory, place orders as needed, and oversee office maintenance and liaise with building management vendors, including cleaning, catering and security services.
- Manage office G&A budget, ensure accurate and timely reporting.
- Partner with HR to update and maintain office policies as necessary and assist in the onboarding process for new hires.
- Communicate internally and externally to receive, process, and confirm invoices.
- Consolidate AP/AR into financial statements
- Organize and schedule meetings, appointments, and travel arrangements.
- Handle correspondence, phone calls, and emails.
- Ensure compliance with company policies and procedures.
- Plan and coordinate company events and activities.
Qualifications
Must Have
- Proven experience as an Office Manager or in a similar administrative role.
- Strong organizational and time management skills.
- Excellent communication and interpersonal abilities.
- Proficiency in MS Office (Word, Excel, PowerPoint) and office management software (Email Scheduler and Boomerang).
- Ability to handle confidential information with discretion.
- Creative problem-solving skills and attention to detail.
Nice to Have
- Office Management Software Experience (Quickbooks, Concur, Workday, Simply Accounting)
- Accounts Payable and Accounts Receivable
- Background in accounting or finance
