Responsibilities
• Executive Support: Manage schedules, arrange meetings, and coordinate events across at least three time zones using MS Outlook.
• Administrative Support: Screen calls, draft correspondence, and prepare confidential reports.
• Event Coordination: Organize meetings, conferences, and social events, including facilities, logistics, and budgets.
• Travel Management: Arrange domestic and international travel plans and prepare related documents.
• Office Management: Ensure smooth office operations, including maintaining supplies, managing office equipment, and liaising with building management.
• HR Assistance: Support onboarding for new employees and collaborate on health and safety compliance.
• Finance Coordination: Handle invoices, reconcile expenses, and assist with budget control.
• IT & Communication Support: Assist with video conferencing, telephone setup, and IT troubleshooting.
• Collaboration: Work effectively with office managers across various locations and contribute to cross-office initiatives.
Qualifications
• Minimum of 5 years of experience in a similar role.
• Exceptional communication skills, both written and verbal. Bilingualism in Spanish is an asset but not required.
• Strong organizational skills with a high degree of attention to detail.
• Demonstrated ability to build and maintain positive relationships at all organizational levels.
• High level of confidentiality, integrity, and professionalism.
• Ability to collaborate with a diverse team in a fast-paced environment.
• Proficiency in Microsoft Office Suite, particularly Outlook, Word, and Excel.
