Responsibilities
- Maintain a safe, clean, and efficient workplace daily
- Respond to building-related requests and emergencies per service level agreements
- Manage facilities-related contracts (e.g., janitorial, coffee services)
- Follow SOPs for maintenance (routine, preventative, and reactive)
- Attend weekly meetings with the office manager to review action items
- Provide support to reception and client services, including breaks, catering, mail, and courier services
- Manage office supply inventory and coordinate special orders
- Set up and take down meeting rooms, including catering and event coordination
- Ensure the client center is well-maintained and fully stocked
- Lead onboarding for new colleagues, including office tours and workspace setup
- Support office manager with facilities management across provincial offices
- Coordinate with vendors for supplies, repairs, and furniture needs
- Act as fire warden and occupational health and safety representative
- Complete additional administrative tasks as needed
Qualifications
- Previous experience in office coordination, administration, or a similar role
- Strong communication and interpersonal skills
- Proficiency in MS Office Suite (Word, Excel, Outlook)
- Ability to manage multiple tasks efficiently
- Experience with facilities management and vendor coordination is an asset
- Flexible with office hours for event support
