Our client, a large legal firm, is looking to hire a senior administrative assistant for its downtown Montreal office.
This person will join the team of legal support professionals. Reporting to the Senior Manager, Legal Support Professionals, the person holding this position will provide full administrative support to two or three lawyers.

Responsibilities
- Write correspondence, prepare and review documents
- Manage deadlines, schedule meetings and appointments and keep the lawyers’ calendar up to date
- Organize travel and make related reservations for lawyers
- Revise and proofread documents for grammar, format and compliance with legal requirements and Davies' visual identity
- Manage folders, documents and files using multiple storage and archiving applications such as NetDocuments, Sharefile, etc.
- Assist lawyers in projects related to business development and keep the professional relations database up to date
- Process data (time entries, expenses) and open files
- Liaise with clients, colleagues, external parties and internal departments, including our Business Center
- Monitor the billing of lawyer files in tandem with the billing coordinators
- Transcribe dictations, audio notes and recordings
- Perform document comparison (“markups”)
- Take part in the successful integration of new recruits to the team
- Perform any related administrative task
Qualifications
- A minimum of three to five years of relevant experience within a fast-paced professional services firm
- Attestation of college studies (A.E.C) in secretarial work or Diploma of college studies (D.E.C) in office automation, an asset
- Excellent oral and written communication skills, in French and English *Our Montreal office provides services in Quebec and represents clients who are established there or who carry out activities there. To do this, the position holder will have to interact and produce content in French and English. Mastery of these two languages (oral and written) is therefore necessary.
- In-depth knowledge of the Microsoft Office suite, more specifically Microsoft Word, Microsoft Excel, Microsoft Outlook and Microsoft PowerPoint
- In-depth knowledge of Adobe Acrobat Pro software
- Experience with transcription of audio notes and knowledge of the Big Hand tool, an asset
- Team spirit, organizational skills and attention to detail
- Proactivity, motivation and ability to anticipate needs
- Ability to effectively manage priorities and work to tight deadlines
- Demonstrate autonomy, discretion, critical thinking and judgment
