We have an exciting opportunity for a 4-6 week contract, for a full-time Facilities Coordinator/Receptionist. This role is entirely onsite, within a beautiful office located in Waterloo. ON. We are looking for someone with top-notch communication skills and experience as an office coordinator or corporate Receptionist in a fast-paced office environment. - Monday-Friday 8:30 am-4:30 pm
- Salary: $24.00/hour
Responsibilities
Office Management duties:
- Managing and reporting on office capacity through Robin Powered (Tool).
- Support as the onsite contact for sanitization, cleaning, coffee, snack supplies, catering, fire extinguishers, waste removal, shred bins, and HVAC where required.
- Daily walk-through check of the office to ensure safety and maintenance are reviewed
- Daily checks of all workstations, meeting rooms, and related technology
- Execute inventory projects as well as system and process improvement projects
- Maintaining records of keys/security credentials relating to premises and controlling access
- Proactively coordinating with Building Services on issues with cleaning, HVAC, lighting, etc. to ensure any operational janitorial issues are resolved quickly
- Plan and maintain beverages and snacks
- Maintain seating design and prepare desks for designated or hotel seating arrangements
- Update office décor as appropriate, such as for holidays and special events
- Ensure space is clean, clutter-free and stocked with necessary supplies
- Liaise with the IT team to provide a seamless office experience utilizing all-in-office technology
- Responsible for inventory and general maintenance tasks of IT onsite
Office Administration duties:
- Responsible for in office expense reporting and regular budgeting updates
- Provide and manage office supplies to employees (sticky notes, pens, notebooks, etc)
- Manage all incoming office deliveries/mail and outgoing mail/shipments.
Event Management duties:
- Execution of company lunches and departments as needed for event coordination
- Facilitation of in-office social initiatives
Qualifications
- Previous experience in facilities/office management/office coordination is an asset
- Excellent time management skills and ability to multitask and prioritize work
- Knowledge of office administrator responsibilities, systems and procedures is a plus
- Advanced knowledge in MS Word, Excel, Outlook and PowerPoint
- Demonstrated problem-solving techniques and initiative to finding solutions
- Must be extremely organized, work well under deadlines and have excellent verbal and written communication skills
- Candidate should have their own transportation
Physical Requirements:
- While performing the duties of this job, the employee may be regularly required to stand, sit, talk, hear, reach, kneel, and ability to operate a computer and keyboard
- Regular lifting, moving, and storing of inventory up to 20lbs is required
- Occasional assistance in moving office furniture to support event set up will be required in this role
