The organization is looking for a qualified and passionate Executive Assistant to join their high-performance team for a 6 weeks contract position with a possible extension, offering comprehensive support to enhance the lives of those they serve.
The ideal candidate will be reporting to the Executive Director. The Executive Assistant coordinates the EDs calendars and ensures the smooth running of the day-to-day general operations of the ED. The Executive Assistant will have strong computer skills and will assist in screening calls, managing calendars, arranging meetings and events, preparing minutes for Board meetings and presentations as well as supporting with other general administrative duties. This role requires one to be able to handle confidential and sensitive documents.

Responsibilities
-Effectively and efficiently manage the Executive Director’s calendar ensuring timelines, accuracy and clarity on verbal appointments and meetings with internal and external stakeholders.
-Support the Executive Director in the efficient and seamless operation of the Board of Directors: preparation of meeting packages, scheduling board, committee and AGM meetings, contacting board directors as appropriate, orientation package preparation, and other administrative functions.
-Organize and maintain private and corporate files and databases in a confidential manner
-Manage communication including emails and phone calls for the Executive Director
-Screen phone calls, redirect calls, and take messages for the Executive Director
-Coordinate Executive Director invoices and review for accuracy
-File important and confidential documents such as reports, meetings notes, emails, and letters
-Receive deliveries; sort and distribute incoming mail
-Organize and record important information and documents physically and electronically
-Assist with Senior Management meeting preparation, including organizing boardrooms, printing and gathering documents, and attending meetings to take notes
-Coordinate ED and Board travel arrangements including transportation and accommodations
-Opening, sorting, and distributing incoming faxes, emails, and mail
-Provide general administrative support as needed
Qualifications
-High School Diploma or General Education Degree (GED)
-Minimum of 5 years’ experience as an Executive Assistant
-Efficient knowledge of Microsoft Office, including Word and Outlook and the ability to learn databases as required.
-Comfortable with routinely shifting demands
-Working knowledge of general office equipment
-Must have experience in the not-for-profit sector
-Must have Board experience
