We are looking for an Executive Assistant to support the CEO of a small company that is also a global leader in their field. In this role, you will manage communications, calendars, travel logistics, and special projects, optimizing the CEO’s time while coordinating with teams across various departments. As the CEO does a lot of traveling, being able to coordinate their schedule and keep the flow of information open is quite important.

Responsibilities
What YOU will be doing as the Executive Assistant:
• Screen emails, calls, and communications, prioritizing matters for the CEO’s attention.
• Contribute to systemizing organizational processes, collaborating on planning and coordination efforts.
• Manage tasks and track requests, ensuring timely follow-up and completion with appropriate team members.
• Research cost-saving options, negotiate contracts, and coordinate with departments to implement savings.
• Optimize the CEO’s calendar, handling scheduling, meetings, travel logistics, and event coordination.
• Manage the day-to-day operations of the office of the CEO, conduct operational planning, manage executive communication, monitor deadlines.
• Assist with inventory tracking, office operations, correspondence, and document management (meeting notes, reports, presentations).
• Support executive communication, monitor deadlines, and manage expenses in collaboration with Accounting.
• Plan and coordinate business and personal travel for the CEO and family.
• Maintain files, manage special projects, and anticipate future needs to ensure the CEO's time is optimized.
• Anticipate future tasks and needs and prepare accordingly. Maintain an ongoing task list for the CEO.
Qualifications

• Previous work experience supporting an high level Executive.
• Strong software skills & knowledge.
• Experience in a fast and dynamic environment.
