We are looking for an executive assistant in Montreal to assist six professors:
Knowledge of the academic environment and dynamics within a research laboratory.
Familiarity with the CVC (Common Canadian CV) platform is an asset.
A strong team spirit, great attention to detail, and advanced computer skills (document formatting, expense reports, etc.) are non-negotiable requirements.
Advantages
-35-hour work week, Monday to Friday, with flexible hours.
-Contract until the end of the year, with the possibility of extension.
-Salary between $35 and $45 per hour, depending on experience.
-A workplace located in Montreal, in the heart of Little Italy, in the dynamic and trendy Mile-Ex neighborhood, close to public transportation.

Responsibilities
-Ensure coordination between the various stakeholders who interact daily with the research group (universities, students, external collaborators, internal partners, etc.).
-Draft and/or create various documents as needed by the researchers (letters, reports, forms, support for researchers' projects, surveys, Doodle polls, etc.).
-Manage the researchers' schedules.
-Take charge of travel itinerary planning, make necessary reservations, and prepare expense reports following the researchers' return.
-Update the researchers' CVs (academic CV and Common Canadian CV) as well as their personal web pages.
-Ensure the planning and organization of academic events (thesis defense, doctoral exams, etc.).
-Support in the writing of grant and scholarship applications.
-Ensure the organization and archiving of documents and files according to current policies and guidelines.
-Perform various administrative tasks in support of the Academic Affairs and Research Administrative Support Department.
Qualifications
-Studies in office administration or management – training in secretarial work is an asset.
-A minimum of 2 years of experience in a similar role.
-Bilingualism, both spoken and written (French-English).
-Knowledge of the academic environment and dynamics within a research laboratory.
-Familiarity with the CVC platform (Common Canadian CV) is an asset.
-Knowledge of Google Suite and Microsoft Office.
-Proven experience in priority management and multitasking.
-Attention to detail, rigor, and professionalism.
