We are looking for an Executive Assistant for a 1 montph contract position to provide crucial support to our senior leadership team. The ideal candidate will be a proactive problem solver, with exceptional communication skills and a strong attention to detail. Experience in administrative support for C-level executives is essential. Responsibilities

Support the CEO and CFO, as well as provide assistance to the executive team to help achieve company goals and ensure efficient operations.
Manage complex scheduling and extensive calendar coordination, ensuring smooth information flow to senior executives.
Coordinate senior executives' travel arrangements, including hotel bookings, transportation, and meal coordination.
Refine and maintain internal processes that support top-level executives, streamlining workflows.
Facilitate communication between upper management and employees, managing interactions on various projects and tasks.
Organize and prioritize tasks to meet senior executives' needs, ensure organizational goals are met, and uphold best practices.
Lead special projects, some of which may have organizational impact.
Assist in the completion of critical tasks such as drafting acknowledgment letters, personal correspondence, and other key deliverables.
Prioritize competing needs, handling matters promptly and proactively, often under deadline pressure.
Maintain professionalism and confidentiality when dealing with sensitive materials.
Perform order entry, data entry, and manage email and phone communications.
Handle incoming and outgoing mail, and order office supplies while maintaining inventory.
Complete reports such as timesheets, expenses, mileage, and CRM validation as required.
Organize internal and offsite team communications and events.
Perform additional duties as directed by your Manager.
Qualifications
Minimum of 5- years of experience in a senior administrative role reporting directly to C-level executives.
Experience with drafting RFPs is highly preferred.
Bilingual in English & French is an asset.
Strong written and verbal communication skills.
High attention to detail and ability to input information accurately into various forms.
Ability to adapt quickly in a fast-paced and changing environment.
Excellent organizational skills with the capacity to manage changing priorities.
Proficiency in Microsoft Office suite, phone systems, and experience with databases (e.g., ERP/CRM).
Self-directed with the ability to work independently with minimal supervision.
Experience with strict confidentiality protocols for handling sensitive data.
Flexible team player, willing to take on challenges and ensure tasks are completed.
Experience managing budgets and expenses is preferred.
Experience with Patient Support Programs is an asset.
