We are recruiting for a highly capable Executive Assistant to join a growing team in the financial sector in the Dundas area, for a well-established firm in the wealth management sector. This role involves client record management, data entry, documentation processing, and scheduling support for advisors. The ideal candidates will have strong organizational skills, a professional demeanor, and the ability to manage a high volume of paperwork efficiently.

Responsibilities
- Administrative Support – Maintain client records, process applications, manage reports, and ensure accuracy in all documentation.
- Client & Advisor Coordination – Schedule and coordinate meetings with advisors, follow up on applications, and provide timely client support.
- Data Entry & Documentation – Accurately enter and manage client information while ensuring compliance with company policies.
- Process Improvement – Take initiative in streamlining administrative workflows and improving efficiency in daily operations.
- Team Collaboration – Work closely with advisors and colleagues in a fast-paced, high-volume environment.
Qualifications
- Bachelor's degree and/or equivalent (Business, Finance, or related field preferred)
- 5+ years of customer service experience and processing-related tasks
- Mutual Funds knowledge (no license required)
- Strong Communication Skills – Ability to interact professionally with clients, advisors, and colleagues
- Tech-Savvy – Proficiency in Microsoft Office (Word, Excel, Teams); training provided for internal systems
- Highly Organized & Detail-Oriented – Ability to manage high volumes of paperwork efficiently
- Proactive & Adaptable – Takes initiative, learns quickly, and works well under pressure
- Team-Oriented Mindset – Enjoys working in a collaborative, family-style office environment
