Responsibilities
RESPONSIBILITIES:
• Oversee comprehensive calendar management for the CEO, including scheduling and coordination of meetings, appointments, and travel arrangements, while also managing personal commitments and overseeing the administration of his personal affairs. Proactively anticipate potential conflicts and resolve them efficiently to ensure seamless daily operations.
• Act as the primary point of contact for internal and external stakeholders, managing both professional and personal correspondence. Handle inquiries with professionalism and discretion.
• Prepare, edit, and proofread documents, reports, and presentations. Maintain organized records for easy access.
• Arrange and coordinate various meetings, off-sites and events, including preparing agendas and gathering relevant materials.
• Serve as the primary point of contact for our Board members, assisting with their logistical needs.
• Manage the corporate calendar alongside the Chief of Staff and the CEO.
• Manage and process expense reports for the CEO, ensuring accuracy and compliance with company policies.
• Liaise, lead and work with other company Executive Assistants and administrators to ensure seamless coordination.
• Handle sensitive information with the utmost discretion, maintaining confidentiality in both professional and personal matters.
• Assist the CEO in various projects by conducting research, preparing summaries, and providing administrative support.
Qualifications
QUALIFICATIONS:
• Post-secondary education in a relevant field
• Proven experience as an Executive Assistant, preferably supporting C-level executives.
• Exceptional organizational and time management skills.
• Strong written and verbal communication skills in French and English, bilingual in both languages.
• Proficient in MS Office suite
• Ability to handle multiple tasks simultaneously and adapt to changing priorities.
• High level of professionalism and discretion
