Responsibilities
Under the authority of the President and CEO, the incumbent assists him in his day-to-day activities
activities; he/she is his/her primary collaborator. He/she is primarily responsible for
ensuring the administrative management and organization of the department.
Handle and follow up the CEO's correspondence (letters, e-mails, etc.).
Ensure optimal diary management.
Ensure sound document management of General Management files in compliance with the
retention schedule.
Plan and prepare committee meetings under the responsibility of the CEO (Board of Directors,
CMDP, Executive Committee, etc.).
Takes notes at meetings and drafts minutes and resolutions of the Board of Directors.

Coordinate the updating and distribution of the organization's policies and procedures.

Follow up on requests for access to information from stakeholders.
Coordinate the layout and publication, in compliance with current graphic standards,
of various types of documents dedicated to residents and their families.
Support residents' committees.
Provide administrative support to the Vigilance and Quality Committee.
Ensure compliance with contribution assessment schedule for senior managers.
Update the directory of reporting organizations.
Coordinate the registration of facility managers with various services such as RAMQ or the
DMA.
Manage various requisitions (IT or other) and ensure their completion.
Qualifications
Diploma of Vocational Studies (DVS) or equivalent academic training
Minimum of five (5) years' relevant experience as a secretary or assistant to the management
Perfect command of spoken and written French and English
Excellent organizational skills and the ability to handle multiple files
simultaneously
Ability to work well under pressure with tight deadlines and to demonstrate speed of execution
A results-oriented approach
Autonomy, initiative and resourcefulness
