Responsibilities
Tenant Relations
Point person for all tenants in the portfolio
Maintain courteous and professional relationships with all tenants and suppliers
Prepare or have prepared tenant communications (memos) for processing through the TGR system
Ensure that all rules and regulations of the respective properties and/or leases are being respected
Inform tenants of all decisions that may affect their operations, including providing costs associated with tenant repairs/renovations to be performed
Manage the opening and closing of TGR tickets in the system for Tenants and/or suppliers on a regular basis, as per Company procedures
Review and approve all tenant charge backs and ensure that tenant approval have been received
Employee Supervision
Manage/supervise 1 position (Administrative Assistant)
Oversee rent collection and CAM adjustment collection in a courteous and professional manner with A/R person
Oversee the process and management the A/P person in relation to the P.O. process
Supervise the duties of the Administrative Assistant
Work with the Tenant Coordinator and Lease Administrator (shared resources), on communication with tenants and that follow-up of tickets is done in an efficient manner until full completion, as well as follow-up of lease administration tasks
Conduct periodic reviews of staff performance and implement appropriate standards of work and staff reorganization, if applicable
Ensure that employees are adhering to Company procedures in relation to sick days and vacation days, including the coordination of vacation schedules amongst the different staff members supervised
Ensure employee punctuality
Control and approve overtime of maintenance workers. Keep records of overtime description of work.
Ensure that all employees respect the Company dress code and other Company policies
Prepare and transmit disciplinary notices, when required
Ensure that property inspections are performed as per Company procedures by the relative building operators for the preparation of the subsequent property inspection reports, and ensure that all necessary work that is described in these reports are performed and completed in a timely manner
Schedule to meet with all members of the supervised team regularly to ensure the efficient running of the properties
Budgets, Operations
Request and approve all purchase orders as per the Company policy on the Yardi platform
Verify G/L accounts and approve all invoices
Maintain and update the Budget Status Report
Oversee or prepare all service contracts as per Company procedures and ensure that all contracts are adhered to
Obtain competitive price quotes for all work and/or services to be performed, as per the different property management provisions for each property
Oversee the preparation of the annual operating expense budgets
Control operating expenses and ensure that the budget is respected
Perform property visits on a regular basis, to ensure the proper maintenance and cleaning of the properties
Oversee the preparation of the respective property forms, as per Company policy, including but not limited to, the move-out checklist form to be completed prior to tenant moving out of the premises, which includes reference to notifying Hydro Quebec and/or Energir when a tenant vacates their premises, and coordinate any changes to the respective accounts, as well as the removal of any leasing signage, pylon signage, as well as the completion of the vacant inventory form when a unit becomes vacant
Coordinate the monthly and yearly schedule of work as per Company policy, including without limitation, the yearly sewer inspections and cleaning, opening/closing of the irrigation systems, window washing, sweeping, line striping, roof and roof repairs, asphalt inspection and repairs of DAR sump-pump, and complete the grid for each service, as well as follow-up on any repair recommendations made by the supplier
Plan and organize work, when necessary, for recoverable expenses (common area preventive maintenance, etc,, including 3 rd party preventive maintenance work, review comparison quotes with budget and schedule work once approved, issue relative purchase orders and subsequently follow-up to ensure that all work is satisfactorily completed and on time
Coordinate with other departments, including accounting, leasing, etc to ensure the smooth running of the properties
Security
Prepare and/or review and/or modify the emergency and evacuation procedures manuals and ensure that they are kept up to date
Ensure that suppliers’ emergency phone numbers are kept up to date
Transmit to security all emergency telephone numbers for suppliers, and members of the operations team
Establish and maintain control over key distribution as well as building/parking access cards (to employees, tenants and to contractors), where applicable
Document all incidents and/or accident reports and forward same to the Lease Administrator, following the established Company procedures, and when required, follow-up on any insurance claims processed as required in coordination with the Lease Administrator
Maintain relations with all municipal services, and ensure that all environmental, fire and safety rules and regulations are being complied with in respect to hazardous materials in tenants’ premises as well as the building’s common areas and properties
Coordinate and conduct approved emergency evacuation fire drills and prepare a summary report:
Administrative Duties
Oversee the preparation, execution and distribution of correspondence to tenants, suppliers, customers, head office, service agreements, contracts & purchase orders
Oversee the purchase order approval process, as per Company procedures
Ensure that all email and other correspondence is responded to in a timely manner
Reports
Prepare and transmit all monthly property inspection reports and established schedules as per Company procedures for the performance of all regular maintenance work, including fully identifying deficiencies and their corrections when completed, as well as annual budgeted repairs, including preventive maintenance work
Prepare and submit to the President and Vice-President, Construction/Operations for review, a response to property inspection reports received from a respective insurance company following their property inspection, and submit the approved response to the relevant insurance company and subsequently ensure that safety and security measures recommended by the respective insurance company are being adhered to, subject to property budget restrictions
Qualifications
What will you bring to the team from Day 1?
- 5 + years of property management experience with extensive exposure to industrial and retail properties
- 5 + years of budgeting (capital, operation, etc), and reporting management experience
- Must have experience analyzing commercial and retail building data
- Evidence leading a team where good culture is enhanced and results are produced
