We are looking for a Receptionist who serves as the first point of contact for customers and visitors, providing a welcoming and professional experience. This role is responsible for managing and directing incoming calls to the appropriate department or team member, assisting visitors with meeting locations or deliveries, and coordinating office activities to support smooth daily operations. Upholding key values of customer experience, integrity, and respect, the Receptionist ensures all interactions are handled professionally and courteously, making every visitor and customer feel valued.

Responsibilities
Receive, direct, and assist incoming calls, providing backup phone coverage as needed.
Maintain up-to-date staff lists.
Receive, open, and distribute incoming mail.
Accept courier deliveries and ensure proper distribution.
Order and maintain stock of ink cartridges for office printers and general stationery supplies.
Manage janitorial and washroom supply inventory and restocking.
Order and maintain kitchen-related supplies, including coffee.
Coordinate with operations, landlords, and janitorial staff regarding building-related issues.
Support the Accounts Receivable department with cheque deposits and collections as needed.
Assist Accounts Payable with vendor statements, scanning and saving invoices, processing expense reports, and mailing cheques.
Organize and maintain filing systems for various departments and coordinate document storage.
Manage parking lot access for new employees and assign entry fobs (location-specific).
Assist IT with setting up new laptops, onboarding new hires, and occasional troubleshooting.
Maintain the mail machine, including adding postage, ordering supplies, and performing minor maintenance.
Keep photocopiers stocked with paper and liaise with support for issue resolution.
Ensure boardrooms are clean and properly set up for meetings, including providing clean coffee mugs.
Help maintain cleanliness in the lunchroom and restock soap and towels in washrooms as needed.
Decorate the lobby for the holiday season, including setting up and taking down decorations.
Assist with planning office social events, coordinating catering, and organizing large meetings.
Perform additional duties as assigned to support the team and organizational goals.
Qualifications
Bilingual in English and French
Proven experience in a customer service role, preferably within a distribution or scientific industry.
Excellent written and verbal communication skills for interacting with customers, vendors, and colleagues.
Friendly and professional demeanor.
Strong organizational skills with the ability to manage multiple priorities effectively.
Exceptional attention to detail.
Proficiency in Microsoft Office applications.
Familiarity with office equipment, including computers, printers, and telephones.
Ability to work both independently and collaboratively in a fast-paced environment.
Positive attitude with a commitment to providing excellent service to customers, employees, and visitors.
