Responsibilities
- Diligently manage and prioritize the calendars of the Managing Director (MD) and ELT for Randstad Digital Canada.
- Schedule and reschedule internal and external meetings, ensuring that time management is optimized and deadlines are met.
- Written Correspondence & Presentations
- Work closely with the ELT to coordinate and prepare monthly & quarterly business review decks and company-wide presentations.
- Respond to emails and requests as required, ensuring clear, concise, and professional communication.
- Submit expense reports through SAP Concur and assist with various documents, reports, and presentations, particularly those with a financial focus.
- Expand and maintain technical proficiency, particularly in Google Suite, to streamline operations and enhance team productivity.
- Arrange travel, accommodations, and transportation for the MD, ETP, and ELT, ensuring smooth and cost-effective planning.
- Maintain a well-organized electronic filing system via Google Drive for easy access to information.
- Coordinate and prepare materials for presentations at speaking events, conferences, and seminars.
- Ensure a smooth flow of information within the ELT and across the company to support other operations.
- Represent Randstad Digital as a brand ambassador, both internally and externally.
- Manage vendor relations for services such as catering, hotels, and venues.
- Coordinate and facilitate stakeholder engagement to ensure strong, positive relationships across the business.
- Support and manage leader presentations, ensuring all materials and logistics are ready for key meetings and events.
- Collaborate with the team on various special projects as needed, ensuring deadlines are met and quality standards are upheld.
Qualifications
Experience: Minimum of 5+ years as an Executive Assistant, ideally supporting senior leadership in a fast-paced environment.
Tech-Savvy: Proficient in Google Suite and comfortable with tools such as SAP Concur, MS Office, and project management platforms (e.g., Trello, Asana).
Financial Acumen: Ability to manage and review reports and documents with a financial component, demonstrating attention to detail and accuracy.
Organization: Exceptional organizational and multitasking abilities; able to juggle multiple priorities with ease.
Communication: Strong written and verbal communication skills; ability to interact professionally with stakeholders at all levels.
Problem-Solving: Proactive in identifying issues and providing creative solutions to keep the team on track.
Professionalism: Discretion, confidentiality, and a strong sense of integrity are essential.
