The administrative assistant will serve as the first point of contact, ensuring a welcoming atmosphere, as well as supporting management in daily operations to keep the office running smoothly.

Responsibilities
• Greet and assist visitors in a friendly and professional manner
• Maintain the office calendar, schedule meetings and coordinate appointments
• Maintain conference room booking schedule; coordinate technology set up for meetings
• Support meetings by offering beverages, oversee catering and arranging lunches
• Manage incoming and outgoing mail and packages
• Order and maintain office supplies and equipment
• Support the team with basic administrative tasks, including preparing documents and
presentations
• Ensure the reception area and common spaces are clean and organized
• Place calls for and coordinate miscellaneous services with the building management
• Organize and maintain the executives' schedule
• Plan, prioritize and coordinate meetings, appointments and events
• Plan and book travel itineraries, accommodations and transportation
• Manage expense reports and reimbursements
• Prepare communications, correspondence and various texts in both French and English
• Maintain files, records and confidential documents
Qualifications
• College diploma or an equivalent combination of education/experience in an administrative
support role.
• Proven experience in a receptionist, office assistant, or similar role
• Friendly, professional, and approachable demeanor
• High collaboration and a team player approach
• Excellent verbal and written communication skills, in both English and French
• Ability to work with sensitive or confidential material
• Proficient in MS Office (Word, Excel, Outlook) and office management software, including table
creation, mail merges and basic formatting
• Strong organizational skills, with attention to detail and time management
• Ability to multitask and prioritize tasks in a fast-paced environment
• Ability to work well with minimal supervision
