Responsibilities
-Assist the associates by drafting and/or preparing various documents (offers of service, minutes, fee proposals, contracts, etc.) and by making various reservations;
-Prioritize files according to urgency, make necessary follow-ups and reminders;
-Assist associates with invoicing, time sheets and project progress in the form of reports or analyses;
-Manage associates' e-mails and ensure proper filing;
-Ensure proper office management (ordering supplies, mail, access cards, landlord communication, etc.);
-Receive and route calls, take messages and provide information;
-Assist office staff with various requests;
-Assist the coordinator with various tasks as required;
-Perform any other administrative tasks requested by management.
Qualifications
-3 to 5 years' experience as an administrative assistant;
-Very good knowledge of the Microsoft Excel, Word, Office suite and collaboration tools (TEAMS, One drive);
-Good knowledge of an Integrated Management System (ERP) , management and tracking of operations (e.g. SAP, Microsoft Dynamics, Odoo/ATOOM);
-Ability to manage several files simultaneously;
-Fluency in spoken and written French;
-Proactive, rigorous, versatile, detail-oriented and a team player;
-Good learning and deadline management skills.
-Knowledge of the architecture and/or construction industry;
-Knowledge of social networks.
