Responsibilities
- Ensure an exceptional welcome experience
- Greet visitors with courtesy, warmth and professionalism
- Handle incoming telephone calls: answer, filter and transfer with discretion
- Prepare meeting rooms (refreshments, equipment, technical configuration)
- Ensuring the cleanliness of the kitchens (managing dishwashers, ordering snacks, coffee, etc.)
- Manage the Managing Partner's diary and proactively plan meetings
- Coordinate events, meetings and customer follow-up
- Enter activities and interactions into the internal database
- Prepare, edit and format high quality documents, reports and presentations
- Manage messages and requests received on the LinkedIn account
- Order office supplies and manage stocks
- Act as a key point of contact, ensuring a high level of service at every interaction
- Ensure the smooth coordination of meetings
- Participate in special projects
Qualifications
-Minimum of 5 years' experience in a similar role (reception, assistant, coordination) in a demanding
professional environment (professional, advisory or legal services, etc.)
- Secondary school diploma required; training in administration or office automation an asset
- Proficiency in office automation tools, in particular the Microsoft Office Suite
- Fluently bilingual - French and English, spoken and written
- Excellent communication and writing skills
- Strong sense of confidentiality and absolute discretion
- Excellent ability to manage priorities, good organisational skills and attention to detail
- Proactive, customer service-oriented attitude
- Strong sense of service and courtesy
- Tact, diplomacy and professionalism at all times
- Ability to listen, be patient and adapt to different people
- Resistance to stress, flexibility and autonomy
- Motivation to contribute actively to the success of a high-level team
