Position: Receptionist / Administrative Assistant
Employment Type: Contract, 6-month coverage position
Hours: Monday - Friday 8:30 am - 4:30 pm
Location: Etobicoke (Dixon Road and Brockpoint Drive)
Start Date: November 2024
Salary: $23/hr

Responsibilities
• Provides reception coverage and greets all visitors
• Retrieve and sort incoming mail
• Arrange for courier pick-ups for outgoing material
• Arrange catering for meetings and training sessions.
• Ensure immediate clean up after meetings
• Ensure kitchen/coffee rooms are clean and always organized
• Coordinate bookings for all meeting rooms
• Responsible for centralized office supply ordering.
• Ensure that the stock room is appropriately maintained at all times
• Engage in such other related duties as are assigned and necessary
• Process parts packing slips
• Process work orders.
• E-billing – scan and email invoices to respective customers.
• Mail out customer invoices without “email invoice” noted on invoice.
• Request Purchase Orders for the “must have PO” customers.
• Perform other duties as assigned, assist sales/rental departments and troubleshooting.
• Order office supplies
QUALIFICATIONS
Qualifications
• Minimum 2 - 3 years related experience in reception or office administration
• Strong attention to detail with good organizational skills
• Exceptional customer service skills
• Ability to work effectively within a variety of changes
• Ability to communicate effectively and coordinate meetings
• A welcoming and warm personality
• Ability to work well in a team environment
• Commitment to setting, achieving, and/ or exceeding individual, team, or company goals
• Good telephone communication etiquette
• Organized and resourceful
• Ability to handle office equipment (e.g., the telephone system. printer and scanner machine)
• To be reliable and on time for work
• Present in a professional manner
• Proficient experience with Microsoft Office, emails and typing.
