Responsibilities
•Calendar Management: Manage complex calendars, scheduling meetings, coordinating across time zones, and proactively addressing conflicts.
•Travel Coordination: Arrange domestic and international travel, including flights, accommodations, transportation, and itineraries, with flexibility for last-minute changes.
•Expense Management: Prepare and process expense reports, ensuring compliance with company policies and timely submission.
•Event/Meeting Coordination: Plan and execute team events and offsite meetings, including venue selection, catering, and logistics. This also includes quarterly team all-hands and larger internal team meetings. Also includes supporting VP with “getting to know team” meetings.
•Relationship Management: Serve as a key contact for internal and external stakeholders, maintaining strong professional relationships and managing communications on behalf of the senior executive.
•Project Support: Assist with special projects, data gathering, report preparation, and general administrative tasks to ensure meeting readiness. Co-ordinate with Public Affairs' for leadership external speaking engagements, making sure that is on track, materials are prepared for leaders, etc
•Leadership Meeting Support: manage agenda for leadership meetings, sending out minutes of meetings and action items as well as follow up on action items as necessary
•Communications Support: manage internal communications to the team as needed.
•Administrative Support: Handle email inboxes where desired by VP, draft correspondence, manage inquiries, and maintain an organized filing system.
•Provides friendly, courteous service to visitors of Enbridge Inc.Must be cooperative, flexible and feel confident, and work well under pressure.
•Compile sensitive information for the purpose of creating confidential reporting and tracking for the business unit.
•Accountable for maintaining positive relationships with internal and external Boards/groups to which the VP provides representation. This requires managing meeting schedules and travel coordination as well as public relations functions.
•Other duties/projects as assigned.
Qualifications
Required:
•Post-secondary graduate in related program and/or equivalent work experience ideal.
•Minimum 6 years of senior administrative experience.
•Expert at problem solving. If given a new task, you’re experienced at problem solving until it’s done.
•Experience in supporting multiple senior leaders simultaneously.
•Superior computer skills (Excel, Word, PowerPoint, Outlook).
•Excellent organizational skills, with ability to multitask in an environment of changing priorities.
•Excellent interpersonal and communication skills (verbal & written).
•Demonstrated ability to work independently and prioritize completion of numerous tasks within strict time constraints.
•High level of attention to detail and commitment to quality results.
•Ability to think outside the box with a fresh perspective
•Demonstrated high performance in a team environment.
Preferred:
•Knowledge of basic accounting principles ideal.
•Demonstrated mathematical skills with a strong aptitude for numbers.
•Event Planning and Coordination capability
•French language skills a huge asset.
