Responsibilities
Manage administrative correspondence relating to construction projects.
Monitor contracts/subcontracts and ensure their transmission to stakeholders until signature.
Issue applicable contracts and confirm bills of materials.
Prepare purchase orders, obtain approvals and distribute them.
Gather and process invoices: match them to contracts/purchase orders, code them and forward them to accounting for processing.
Document and update shop drawing workflows.
Write the minutes of site and coordination meetings, then distribute them to the people concerned.
Ensure physical mobilization and demobilization on construction sites (furniture, office supplies, telephone lines, etc.).
Keep plans and specifications up to date, and ensure the distribution of revisions.
Prepare site summary documents and archive projects as directed.
Manage and update the project management directory.
Classify documents and correspondence in customer files.
Qualifications
2 to 3 years of experience in a similar position.
Construction experience strongly desired.
Bilingualism both oral and written
Knowledge of the Ms Office Suite
Organizational skills, attention to detail, and ability to work under pressure with deadlines
Autonomy, proactivity and ability to work in a team.
