Responsibilities
• Provides administrative support to senior and junior bankers.
• Coordinates internal/external meetings and virtual/conference calls.
• Manages a high volume of phone calls, interacting professionally with senior business leaders.
• Screens information and calls, prioritizing based on sensitivity.
• Maintains complex calendars, prioritizing meeting requests and logistics.
• Coordinates travel arrangements and processes expense reports.
• Collaborates with administrative professionals across departments.
• Understands firm policies and handles certain issues independently.
• Performs general administrative duties (copying, filing, archiving), ad-hoc projects, and participates in committees/events.
• Coordinates requests for business cards, cell phones, credit cards, computer hardware, and systems access.
• Provides back-up support for other assistants.
• Performs other duties as assigned.
Qualifications
• 3-5 years of administrative experience, preferably in financial services.
• Advanced computer skills in MS Word, Excel, Outlook, and PowerPoint.
• Ability to work under pressure, adapt to unexpected events, prioritize, and multi-task.
• Team player with a demonstrated ability to assist teammates.
• Excellent organizational, analytical, and communication skills (written and verbal).
• Demonstrated dependability and sense of urgency.
• Ability to screen calls, correspond, and greet visitors professionally.
• Ability to handle sensitive, confidential, and non-routine information.
• Comfortable working with people at all organizational levels.
• Ability to work independently and as part of a team.
• Willingness to take on additional tasks.
